Frequently Asked Questions
|
Why
should I select a group flight or a coordinated flight rather then opting for a
lesser-cost ticket available on the Internet?
A group flight option is a contracted itinerary for ten
or more seats from a common city, which as been approved by the Learning Abroad
Center. A coordinated flight option itinerary is a flight for less then ten
seats from a common departure city, which has been approved by the Learning
Abroad Center.
Both
group and coordinated flight itineraries are communicated to the Learning Abroad
Center. Should a problem arise such as an emergency or unplanned change to
return, Village Travel will assist with the change and has access to all ticket
information, which may be needed by the air carrier, the Learning Abroad Center,
and the traveler. On a group or coordinated flight itinerary, Village Travel
keeps in contact with the Learning Abroad Center as to flight arrival
and
departure times, so that in-country ground transfers are
notified of any
schedule changes.
Can I
depart from a city other than the listed departure city?
Yes, in
most cases you may depart from another city. You must make this request at the
time of flight registration.
Can I
change my return date?
Yes, in
most cases you may request an alternate return date at the time of booking or
you may try to change it for a fee after you depart. We do suggest that you
pick a return date at the time of registration for your flight. While it may be
possible to change your return once in country, it may be very difficult, as it
is subject to availability.
Why
has the price changed from the quoted price on the Website?
Internet
prices are quoted from the lowest price. Prices and schedules are subject to
availability and can change hourly or daily. Additionally, if the group fills,
we may have to provide an alternate itinerary with new pricing. An updated
alternate itinerary will then be listed to the web site.
When
will I receive my tickets? Tickets
are typically mailed out two to three weeks prior to departure. We issue
electronic tickets whenever possible. In
that case, you will receive only an itinerary and a passenger receipt. In cases
where paper tickets are necessary, you will receive a ticket with a coupon for
each flight segment. It is imperative that you take care not to lose these
tickets. They will be needed when you check in for both your outbound and
return flights.
Can I
fax or call in my credit card payment information? Yes, you
may do both; however, we will need a written authorization from the cardholder
in order to charge the card. The authorization must include the card holders
name billing address, the amount authorized, the type of card, the expiration
date, and at least the last 4-digits of the card number. We will take the full
credit card number verbally over the phone and await written authorization.
How
many bags am I allowed to bring? Most
international carriers allow two bags not to exceed 50 lbs each, plus one
carry-on, which must be able to fit under the seat in front of you. Baggage
allowances do vary by airline. You should call the airline or Village Travel
for the allowances on your flights.
Will
I receive a confirmation of my registration? Yes,
within one business day you should receive an email response confirming that we
have received your registration. Within two business days, you should receive an
itinerary and price quote. If you do not, please contact us.
When
is my payment due?
Payment
is due as noted on your confirmation itinerary (with price quote). It is your
responsibility to make payment arrangements by the due date or your
reservation will
be cancelled. Your deposit will be forfeited if you do not submit your final
payment by due date. Village Travel does not offer a payment plan.
What
if my payment is late? Your
reservation will be cancelled. You may ask that we reinstate the reservation,
but it is subject to availability restrictions. The price may change and/or you
may have to take alternate flights. Your deposit will be forfeited if you do not
submit your final payment by due date. Village Travel does not offer a payment
plan.
Can
Village Travel provide an itinerary for visa issuance? Yes,
once we have received a deposit Village Travel can run an
itinerary and provide it
to the traveler for visa issuance.
How
do I reconfirm my flight? Village
Travel or the airline can confirm your outbound flight.
You must reconfirm your return flight directly with
the airline, 72 hours prior to departure. We strongly suggest you call the airline the night before your departure (in both
directions) to see if there have been any last minute schedule changes and to
verify check in time requirements for your airport.
How
much time do I need at the airport to check in? For most
airports in the United States, we suggest that you check in at least
3 hours
prior to departure. International airports may have longer check in time
requirements. When you call the airline to reconfirm your flights,
ask them what the current check in requirements are for flights.
What
happens if I miss my flight? If you miss your flight, go directly to the airline
counter. They may be able to reaccommodate you. If the airline is unable to
help you, contact Village Travel.
